Terms of Service
Effective Date: June 15, 2026
These Terms reflect the Copper Vows Service Agreement & Retainer Packet that every couple signs before their ceremony. They are entered into between Copper Vows, a DBA of Desert Sky Concierge LLC (“Officiant” or “Copper Vows”), and the couple booking services (“Client”). By booking, Client agrees to these terms; the signed Service Agreement controls in full.
1. Services
The Officiant provides professional wedding-officiant and ceremony-design services for the date, time, location, package, and approved add-ons listed in each couple’s Booking & Payment Summary. The selected package determines the included planning, rehearsal, vendor-alignment, and ceremony-support services.
2. Booking, Retainer & Payment
- A signed Agreement and a 50% non-refundable retainer are required to secure the ceremony date.
- The remaining 50% balance is due no later than seven (7) calendar days before the ceremony date.
- The Officiant is not required to perform the ceremony until the full balance has been received.
- Payments are non-refundable except as specifically stated in the Cancellation & Rescheduling section.
Accepted payment methods: cash with receipt, secure credit-card invoice, or Venmo Business @CopperVows submitted as Goods & Services.
3. Package Scope, Add-Ons & Fees
Package inclusions are limited to the package selected in the Booking & Payment Summary and any add-ons confirmed in writing. Optional services — such as rehearsal attendance, rush booking, extended travel, early arrival, unity-element support, or other ceremony enhancements — may require additional fees.
4. Custom Script Ownership & Ceremony Performance License
All custom scripts, ceremony structures, cue concepts, and original wording created by Copper Vows remain the intellectual property of Copper Vows and/or Desert Sky Concierge LLC. Upon full payment, Client receives a personal, non-transferable license to use the custom ceremony script for the ceremony covered by the Agreement and for personal keepsake purposes, including private anniversary remembrance or personal vow-renewal use.
If the Agreement is terminated before performance, any license to perform a custom script is revoked unless Copper Vows agrees otherwise in writing. The script may not be performed, reproduced, taught, sold, licensed, or used commercially by another officiant or third party.
5. Proprietary Materials & Limited Use
Copper Vows forms, Get to Know You Call materials, Vow Coaching Guide, ceremony design packets, cue sheets, vendor guides, timelines, rehearsal guides, templates, systems, methods, and other planning documents are proprietary materials. Signature Ceremony™ and Seamless Ceremony Method™ are proprietary to Copper Vows.
Client may share ceremony-specific materials with participating wedding vendors and ceremony-team members only as needed to execute Client’s ceremony. Client may not reproduce, resell, redistribute, publish, teach from, modify into derivative materials, or use Copper Vows materials for commercial or comparable service purposes without written permission.
6. Cancellation & Rescheduling
- The retainer is non-refundable, but may transfer one time to a new date if Copper Vows is available for that date.
- If Client cancels more than seven (7) calendar days before the ceremony date, no additional balance is owed.
- If Client cancels within seven (7) calendar days of the ceremony date, the remaining balance is due unless the date is rebooked.
- If the Officiant must cancel because of illness, accident, or circumstances beyond reasonable control, payments received will be refunded or a qualified replacement officiant will be arranged at no additional cost, when reasonably possible.
7. Ceremony Timing, Delays & Punctuality
Client is responsible for communicating the confirmed ceremony start time and ensuring the venue and participants are prepared for the scheduled start. If a Client-, venue-, or guest-caused delay occurs:
- A fee of $50 applies for the first thirty (30) minutes of delay.
- An additional $30 applies for each fifteen (15) minutes of delay thereafter.
- The Officiant may reasonably streamline ceremony elements to protect subsequent commitments.
- If the total delay exceeds sixty (60) minutes, the Officiant may cancel or depart without refund.
Delay fees are invoiced within seven (7) calendar days of the ceremony and are due on receipt.
8. Client Responsibilities
We design the ceremony together. To do that well, we’ll need a few things from Client:
- Provide accurate information and maintain clear communication with the Officiant.
- Ensure venue access, required permissions, permits, and site-specific requirements.
- Provide finalized ceremony details, vendor contacts, and decisions by agreed deadlines.
- Identify any safety, accessibility, family-dynamic, weather, or ceremony-day concerns needed for planning.
9. Marriage License Compliance & Filing
Client is responsible for obtaining a valid marriage license before the ceremony and complying with applicable state and county requirements. Client must provide the license, valid identification when required, and any legally required witnesses for signature.
Mistakes, alterations, missing required signatures, or illegible information may invalidate or delay filing of the license. The Officiant will complete the officiant portion as applicable, photograph the completed license, and mail it to the appropriate Clerk of the Superior Court following the ceremony. Once mailed, Copper Vows is not responsible for postal delays, county processing time, or consequences caused by Client-provided errors or omissions.
10. Travel & Lodging
Travel included with a package is limited to the distance confirmed in writing at booking. Ceremonies requiring extended travel, destination service, overnight lodging, parking fees, or other travel-related costs may require additional payment confirmed in writing before services are performed.
11. Sound & Audio Equipment
Unless separately agreed in writing, the Officiant is responsible for ceremony delivery, not for supplying, operating, engineering, or troubleshooting venue sound systems, amplification, microphones, speakers, or audio networks. Sound equipment and technical operation remain the responsibility of Client, the venue, or contracted audio professionals. Copper Vows is not liable for audio dropouts or technical failures outside the Officiant’s direct control.
12. Professional Conduct & Right to Withdraw
Copper Vows maintains a professional standard of respect, calm leadership, and courtesy and expects the same from Client, guests, vendors, and participants. The Officiant may refuse or discontinue services before or during the ceremony when faced with harassment, threats, abusive conduct, unsafe conditions, illegal activity, or behavior that compromises personal safety or professional integrity. In such circumstances, payments may be forfeited.
13. Communication Policy
Communication is welcomed and appreciated. Copper Vows will respond as promptly as reasonably possible during regular business hours. Messages received in the evening or on weekends will generally be answered the next business day unless the ceremony is scheduled for that same weekend or a time-sensitive ceremony matter requires attention.
14. Force Majeure & Emergency Substitution
The Officiant is not liable for delay or non-performance caused by weather, illness, accident, power failure, travel disruption, natural disaster, government restriction, epidemic, pandemic, public health emergency, venue closure, or another circumstance beyond reasonable control. If reasonably possible, Copper Vows will attempt to perform at an adjusted time or arrange a qualified replacement officiant at no additional cost.
If Client, the venue, or another party prevents the ceremony from proceeding as scheduled for reasons outside Copper Vows’ control, payments are governed by the cancellation and timing provisions above. Client acknowledges that the date and service window are reserved specifically for Client and may prevent Copper Vows from accepting other bookings.
15. Ceremony Revisions
Ceremony review includes one consolidated round of revisions unless otherwise agreed in writing. Client is encouraged to provide one thoughtful, combined revision request so timelines remain protected and the ceremony can be finalized with care.
16. Privacy of Personal Stories
Copper Vows understands that ceremony planning may include personal stories, family dynamics, grief, faith preferences, private vows, and relationship details. Information shared through the Get to Know You Call, planning guides, calls, messages, and questionnaires will be treated discreetly and used only to design and deliver Client’s ceremony unless Client authorizes another use. 17. Use of Images & Privacy
Client grants permission for Copper Vows to use limited ceremony photographs or non-private testimonial excerpts for portfolio or marketing purposes unless Client opts out in writing before publication. Copper Vows will not sell Client personal information or publish private planning content, private vows, or sensitive personal stories without authorization.
18. Honest Reviews & Professional Resolution
Copper Vows welcomes honest feedback. Nothing in these Terms limits Client’s right to share an honest review or lawful opinion about services received. Both parties are encouraged to address concerns directly and professionally when possible. Copper Vows retains its rights regarding statements or conduct that are knowingly false, defamatory, harassing, disclose confidential or proprietary information, or are otherwise unlawful.
19. Liability Limitation
To the fullest extent permitted by law, Copper Vows’ total liability relating to the Agreement will not exceed the total amount actually paid by Client for the contracted services. This limitation does not apply where prohibited by applicable law.
In no event will Copper Vows be liable for any indirect, incidental, consequential, special, or punitive damages, including but not limited to emotional distress, lost opportunities, or third-party claims, even if advised of the possibility of such damages.
20. Digital Signature Consent
The Agreement may be executed and stored electronically. Electronic signatures, initials, or other approved forms of digital acknowledgment carry the same force and effect as original handwritten signatures. Delivery by email or through an approved digital signature platform constitutes valid execution. Signed counterparts together form one complete Agreement.
21. Governing Law & Venue
These Terms and the Agreement are governed by the laws of the State of Arizona. Venue for any dispute arising from the Agreement will be in Maricopa County, Arizona, unless otherwise required by applicable law.
22. Entire Agreement & Written Changes
The Agreement, the Booking & Payment Summary, and any written package or add-on confirmations represent the agreement between the Parties for the contracted services. Changes must be confirmed in writing by Copper Vows and Client.
23. Severability
If any provision is held by a court of competent jurisdiction to be invalid or unenforceable, the remaining provisions will remain in full force and effect. The Parties agree to substitute an enforceable provision that most closely matches the intent of any provision held unenforceable.
